Cost per use of a hotel towel: how to calculate it

Most towel purchases in the hospitality industry are decided by comparing the price per unit. This is the figure that appears in the price list, is easy to compare, and is almost always inaccurate.

A towel is not a one-time purchase: it is used hundreds of times, washed hundreds of times, and retired when it no longer has an acceptable appearance. The purchase price is only one part of the true cost. The figure that truly matters is the cost per use, and it is the only one that allows for a meaningful comparison of two towels with different prices.

The Formula

The cost per use of a towel has two components:

Cost per use = (Purchase Price ÷ Number of uses until retirement) + Washing Cost per use

The first term decreases the longer the towel lasts. The second does not: it is paid in each cycle, indefinitely, and in most accommodations, it ends up being the dominant component.

This has a consequence that should be understood before proceeding: after a certain number of uses, the purchase price becomes irrelevant, and the washing cost is what matters.

Grammage is not just quality: it's also weight

Grammage is usually read as an indicator of quality. It is also, literally, an indicator of cost: a 700 g/m² towel weighs exactly 56% more than a 450 g/m² towel, because that is the proportion between the two grammages.

There's nothing surprising about this. What is surprising is what happens when you multiply it by a year of service.

Actual weight of a 100×150 cm bath towel:

Take a 20-room establishment that changes one bath towel per room per day. That's 7,300 towels washed per year.

  • With 450 g/m²: 4,928 kg processed per year.
  • With 700 g/m²: 7,665 kg processed per year.

The difference is 2,737 kg per year, just for bath towels in only 20 rooms. Multiply that figure by your rate per kilogram, and you'll have the annual laundry surcharge you incur by increasing grammage:

The rates in the table are illustrative: replace them with your own. The calculation also does not include hand towels, face towels, or bath mats, which would increase the difference.

None of this means that high grammage is a bad decision. It means that it has a recurring cost that does not appear in the purchase price list, and to justify it, the towel has to last significantly longer. How much longer, only your own data can tell.

The three pieces of information you need

1. The purchase price

This is the data you already have. As a reference, these are our prices for the 50×100 cm hand towel size, excluding VAT:

Take your last laundry bill. If you are billed by the kilo, divide the amount by the kilograms processed and multiply by the weight of the towel. If you do laundry in-house, add water, detergent, energy, machinery depreciation, and staff hours, and divide by the kilograms processed in the same period.

This calculation often comes as a surprise. It is common for the accumulated washing cost of a towel to exceed its purchase price in the first year of service.

3. Number of uses until retirement

This is the data that no one has, and everyone should have. Don't look for it in a technical sheet: it will depend on your water, your detergent, your washing temperatures, your drying program, and your retirement criteria.

The way to obtain it is simple, although it requires patience: mark a purchase batch—a sewn-in label, a colored thread on the selvage, a separate batch in the warehouse—and note the date. When that batch begins to be retired, you will have your first real data point. From then on, each purchase gives you more data.

Why this changes the decision

Let's assume two white hand towels: one at €3.20 and another at €5.58. The price difference is 74%, and based on the price list, the decision seems obvious.

Now apply the formula. If the more expensive towel lasts significantly more cycles, its amortization cost per use may fall below that of the cheaper one, making it worthwhile. If it lasts practically the same amount of time, it's not worth it at all: you're paying 74% more upfront and 33% more for washing in each cycle.

The point is not that one quality is better than another. It's that the answer depends on data found in your laundry and warehouse, not in the supplier's catalog. Anyone who gives you a lifespan figure without knowing your facility is making it up.

What really influences durability

Without putting numbers that depend on each facility, these are the factors that affect the useful life of a towel in professional use:

  • The quality of the yarn, more than grammage alone. A long-staple, well-combed cotton resists repeated washing better than a high grammage achieved with loose loops.
  • The density of the loops. A dense, short loop piles less and loses less fiber in each cycle than a long, loose loop.
  • The finish of the selvages and hems. This is where almost all retirements begin: the edge frays long before the body of the towel fails.
  • The temperature and pH of the wash. Excessive chlorine and high temperatures shorten useful life faster than actual use.
  • Drying. Over-drying is one of the most frequent causes of loss of feel and fiber.

Two of these five factors are under your control, not the supplier's. That's why the same item can yield very different results in two hotels in the same city.

The particular case of colored towels

For colored towels, the calculation has one more variable, which usually determines retirement.

A white towel is retired when the fiber fails: it loses its feel, the selvage frays, or stains appear that can no longer be removed. A colored towel can be retired much earlier for a different reason: it has lost color. And it only takes one unit in the batch to fade for the whole set to lose its homogeneous appearance, even if the fabric is perfectly sound.

This has three practical consequences:

  • Colorfastness becomes a purchase criterion, not an aesthetic detail. A well-fixed color extends the actual useful life of the batch more than additional grams of grammage.
  • It is advisable to buy the entire batch at once. Replacing individual units months later almost always produces noticeable color differences compared to the originals.
  • Washing matters even more. Chlorine and high temperatures destroy color much faster than fiber. A washing protocol adapted to color can double the perceived useful life of the batch.

The premium for color versus white in the same grammage is real —€1.65 more per unit for 50×100 at 450 g/m², €1.16 more at 600 g/m²— and is only justified if the color holds up. Therefore, in spa, gym, and pool areas, where color is part of the space's image, the correct question is not how much the towel costs but how many cycles it maintains its tone.

How to start measuring it this week

  1. Note the cost per kilo from your last laundry bill.
  2. Weigh one towel of each quality you have in service.
  3. Mark your next purchase with the entry date.
  4. When you retire that batch, note the date and calculate the approximate cycles.
  5. Apply the formula and compare.

If you work with color, add a sixth step: photograph a unit of the new batch next to the color chart and repeat the photo every three months. This is the simplest way to document when it starts to fade.

With two measured purchase cycles, you will have a solid basis for decision-making, and you will stop buying by list price to start buying by real cost.

Frequently Asked Questions

Is a higher grammage always more cost-effective?

Not necessarily. A higher grammage is often associated with greater durability, but it also means more weight and, therefore, more washing cost per cycle. If your laundry bills by the kilo, the heavier towel must last significantly longer to compensate. Only your own durability data can answer this question.

How many uses does a hospitality towel last?

It depends on the water hardness, detergent, washing temperature, drying program, and retirement criteria of each establishment. Any general figure is an estimate. The only reliable figure is what you obtain by marking and tracking your own purchase batches.

Is a colored towel better than a white one?

It depends on the use. In rooms, white allows for more aggressive washing and easier replacement. In spas, gyms, and pools, color is part of the space's image and is often worthwhile. The price difference is real, and it is justified when the color maintains its tone throughout the fabric's useful life: that's why it's advisable to buy the entire batch at once and adapt the washing protocol.
